Privacy Policy

What we collect when you send us your clinic's website, why we collect it, and how you can get it removed. Written in plain language, because you should not need a lawyer to read it.

Who we are

ClinicCents designs and builds websites for clinics and doctors in India — dental, veterinary, physiotherapy and dermatology practices. We are the data fiduciary for the information described in this policy.

This policy explains what we collect when you visit cliniccents.com, message us on WhatsApp, or become a client. It is written for clinic owners, not lawyers.

Important: this policy covers data we collect about you, the clinic owner or enquirer. It does not cover your patients' data. If we build your website, patient data is handled under a separate agreement — see Patient data on client websites.

What we collect

We collect only what we need to reply to you, prepare your design concept and deliver work you have asked for.

Information you give us directly

  • Your website address, entered into the form on our site, so we can prepare a redesign concept.
  • Your WhatsApp phone number and profile name, when you message us. WhatsApp shares these with us automatically as part of the conversation.
  • Clinic details you choose to share — clinic name, specialty, city, treatments offered, opening hours, doctor names and qualifications.
  • Project materials you send us during a build — logos, photographs, existing copy, testimonials, certificates and similar content.
  • Billing details where you become a client, such as your name, billing address and GSTIN where applicable.

Information collected automatically

  • Basic technical data — IP address, browser and device type, referring page and pages viewed on our site.
  • Advertising and analytics identifiers — cookies and similar technologies set by the tools listed in Cookies and tracking.

We do not ask for and do not want your patients' names, medical records, health conditions or any other patient health information as part of an enquiry. Please do not send patient information to us over WhatsApp.

How we use your information

We use your information for these purposes and no others:

To reply to youAnswering your enquiry on WhatsApp, usually within about 15 minutes during working hours.
To prepare your free conceptReviewing the website address you send us and building a redesign concept for your clinic.
To deliver the workDesigning, building, launching and supporting your website where you become a client.
To invoice youRaising invoices, collecting payment and meeting our tax and accounting obligations.
To improve our websiteUnderstanding which pages are read and where visitors leave, so we can make the site clearer.
To measure our advertisingUnderstanding which ads lead to enquiries, and showing our ads to people with similar interests.

What we never do

  • We do not sell your personal information to anyone.
  • We do not share your enquiry with other web design agencies or lead brokers.
  • We do not add you to a marketing list simply because you asked for a free concept. If we send you anything promotional, it is because you agreed to it, and every message will let you stop.

Cookies and advertising

Our website uses cookies and similar technologies. Some are necessary for the site to function. Others help us understand traffic and measure our advertising on Meta and Google.

NecessaryKeep the site working, remember your cookie choice and protect against abuse. These cannot be switched off.
AnalyticsGoogle Analytics, to count visits and see which pages are read. We use this in aggregate, not to identify you.
AdvertisingMeta Pixel and Google Ads tags, to measure which advertisements lead to enquiries and to show our ads to relevant audiences.

Meta and Google act as independent controllers of the data they collect through these tools. Their handling of that data is governed by their own privacy policies: Meta Privacy Policy and Google Privacy Policy.

Your choices

  • You can accept or decline non-essential cookies using the banner shown on your first visit.
  • You can clear or block cookies in your browser settings at any time.
  • You can opt out of personalised Google advertising through Google Ad Settings, and adjust Meta ad preferences in your Facebook or Instagram account.

A note on WhatsApp. When you click a WhatsApp button on our site, you leave our website and continue on WhatsApp. Your conversation is then also subject to WhatsApp's own privacy policy. We can see your phone number, your WhatsApp profile name and whatever you choose to send us.

Who we share information with

We share your information only with service providers who help us run the business, and only to the extent they need it. Each is bound to protect it.

Hosting and domainsThe hosting and domain providers on which our site, and where applicable your site, runs.
Analytics and advertisingGoogle and Meta, as described above.
Payments and accountingOur bank, payment provider and accountant, for invoicing and statutory records.
LegalAuthorities, regulators or courts, where we are required by law to disclose information.

Some of these providers store data on servers outside India. Where that happens, we rely on the provider's contractual protections and transfer safeguards.

How long we keep it

We keep information only as long as it is useful for the purpose it was collected, or as long as the law requires.

  • Enquiries that do not become projects — kept for up to 24 months, so we recognise you if you come back, then deleted.
  • Client project files — kept for the length of the engagement and for 3 years afterwards, so we can support or restore work.
  • Invoices and tax records — kept for 8 years, as required under Indian tax law.
  • WhatsApp conversations — kept for as long as the thread exists on our business device, subject to the periods above.

Your rights

Under India's Digital Personal Data Protection Act, 2023, you have the following rights over the personal data we hold about you.

  • Access — ask us what personal data we hold about you and how we are using it.
  • Correction — ask us to correct information that is wrong, incomplete or out of date.
  • Erasure — ask us to delete your information, unless we are required to keep it by law.
  • Withdraw consent — where we rely on your consent, withdraw it at any time. This does not affect anything done before you withdrew it.
  • Nominate — nominate another person to exercise these rights on your behalf in the event of your death or incapacity.
  • Grievance redressal — raise a complaint with us, and escalate to the Data Protection Board of India if you are not satisfied with our response.

To exercise any of these, message us on WhatsApp at +91 85228 62121. We aim to respond within 7 working days, and in any case within the period required by law.

How we protect your information

We take reasonable security measures appropriate to the size of our business and the sensitivity of the information we hold.

  • Access to client files and accounts is limited to people who need it to do the work.
  • Accounts we control are protected by strong, unique passwords and, where available, two-factor authentication.
  • Websites we build are served over HTTPS.
  • We delete project material we no longer need, rather than keeping it indefinitely.

No method of transmission or storage is completely secure. If a breach occurs that is likely to affect you, we will notify you and the Data Protection Board of India as required by law.

Patient data on client websites

This section matters if we build or maintain your clinic's website.

Websites we build may include enquiry forms, appointment requests or WhatsApp buttons through which your patients contact you. In relation to that patient data:

  • You are the data fiduciary. The patient is your patient, and the enquiry comes to you. You decide how that information is used, stored and retained.
  • We are a data processor, acting only on your instructions and only to the extent needed to build, host or support the site.
  • We do not access, export or use patient enquiries for our own purposes, and we do not use them for marketing.
  • You remain responsible for your own privacy notice, consent language and compliance with medical confidentiality obligations and applicable medical council regulations.

Testimonials and before-and-after images. Where your website displays patient photographs, reviews or treatment results, you are responsible for obtaining and keeping written patient consent. We will build what you supply; we cannot verify consent on your behalf.

Children

Our services are sold to clinics and medical practitioners. Our website is not directed at children, and we do not knowingly collect personal data from anyone under 18.

If you believe a child has sent us personal information, message us and we will delete it.

Changes to this policy

We may update this policy as our business, tools or the law change. The date at the top of this page shows when it was last revised.

Where a change materially affects how we use your information, we will make that clear on this page. Continuing to use our website after a change means you accept the updated policy.
